Refund & Cancellation Policy

At Luxytrix Travel, we understand that plans can change. Our cancellation and refund policy is designed to be fair while reflecting the costs already committed to hotels, transport, and third-party services. Please read this policy carefully before booking.
1. Cancellation by the Customer
1.1 Domestic Tour Packages

1.2 International Tour Packages

Important: Airfare, visa fees, and travel insurance premiums are non-refundable regardless of cancellation date, as they are governed by the respective airline and service provider policies.
1.3 Group Tour Departures (Fixed Departures)
For our fixed departure group tours listed on the Upcoming Tours page:
- Cancellations 30+ days before departure: Refund of advance minus ₹2,000 processing fee
- Cancellations 15–29 days before departure: 40% of total package cost forfeited
- Cancellations within 15 days: No refund
- Seat may be transferred to another person — inform us 48 hours in advance
2. Cancellation by Luxytrix Travel
Luxytrix Travel may cancel a tour due to the following reasons:
- Insufficient bookings for a group tour (minimum pax not reached)
- Natural disasters, political unrest, or force majeure events
- Government travel advisories or restrictions
- Safety concerns at the destination
In case of cancellation by Luxytrix Travel:
- You will receive a full refund of all amounts paid
- You will be notified at least 15 days before departure (or as early as possible in emergency situations)
- Alternatively, we will offer to reschedule your tour to a future date at no extra cost
3. How to Request a Cancellation
To cancel your booking, please follow these steps:
- Send a written cancellation request via email to luxytrixtravel@gmail.com with your booking reference number and reason for cancellation
- You can also inform us via WhatsApp at +91 74669 33709
- Cancellation is effective from the date we receive your written request — not from the date of your enquiry
- You will receive a written acknowledgement within 24–48 hours
Verbal cancellations (by phone call) are not accepted — written confirmation is mandatory.
4. Refund Processing
- Timeline: Refunds are processed within 7–14 business days of cancellation confirmation
- Mode: Refunds are credited to the original payment method (bank account, UPI ID) used for booking
- Currency: All refunds are in Indian Rupees (INR)
- Refunds via cheque may take up to 21 business days to clear
5. Date Change / Postponement
If you wish to change your travel dates (not cancel):
- Date changes 30+ days before departure: ₹1,000–₹2,000 amendment fee per person
- Date changes within 30 days of departure: Subject to availability; standard cancellation charges may apply plus re-booking at current rates
- Maximum 2 date changes per booking are allowed
6. Visa Rejection
In the unfortunate event of a visa rejection:
- Visa fees are non-refundable
- If Luxytrix Travel assisted with the visa and the rejection was due to our error, we will offer a re-application at no extra cost
- For the tour package portion: cancellation charges as per the standard schedule above will apply from the date of visa rejection notification
- We strongly recommend purchasing travel insurance that covers visa rejection
7. Insurance Claims
We strongly recommend purchasing comprehensive travel insurance at the time of booking. For cancellations covered under travel insurance (medical emergencies, bereavement, etc.):
- Please file your claim with the insurance provider directly
- Luxytrix Travel will provide necessary documentation to support your claim
- Cancellation charges still apply from our end — the insurance covers your loss
8. No-Shows
If you do not arrive at the departure point or hotel as per the scheduled itinerary without prior notice, it is considered a no-show. No refunds are applicable for no-shows, including unused services (hotels, transfers, sightseeing) during the tour.
9. Special Circumstances
In extraordinary circumstances (medical emergencies with hospital documentation, natural disasters at departure city), Luxytrix Travel may, at its sole discretion, offer a partial credit note for future travel. These are exceptions and not standard policy.
